Overview: Synyega was brought on board to provide a Government department with specialist licensing advice to review and optimise the organisation’s existing Microsoft licensing arrangements, prior to the annual renewal.
The organisation approached Synyega with a brief of supporting them with a complete internal audit of Microsoft licensing and deployments. Using Synyegas Review and Optimise service, the organisation also requested advice and guidance on how to optimise the costs of their next Microsoft Enterprise License Agreement (ELA).
Challenge: The organisation had undergone many mergers and had multiple historic agreements. In addition, numerous system integrators managed various parts of the IT estate adding to the complexity
Our team needed to streamline the client’s overall approach to their licensing agreements to make it more manageable, with the ultimate goal of identifying opportunities for cost-optimisation which would enable them to make the right decision around future agreements.
Solution: In order to provide the client with a comprehensive overview of their existing agreements, Synyega needed to plan a bespoke phase of work and accompanying process. By doing so, we were able to gather the required deployment data from the System Integrators and other related areas that were advised during the engagement.
To effectively monitor this activity, we introduced an Activity Tracker that detailing each planned phase of work and identifying any areas that would need to be prioritised. Each phase of work was planned in conjunction with the key stakeholders, collaborating with the relevant individuals to complete actions and requests within pre-determined timeframes.
By setting out our activity in this way, the client had a clear overview of the plan, instilling confidence that each area would be appropriately managed, and the respective data gathered within the agreed timeframe.
To help mitigate any potential delays, we also implemented a robust escalation process to advise on any issues, keeping the client updated on these and the potential effects this could have on timeframes and delivery.
Results: The work was delivered on schedule within a tight timeframe. We produced a detailed map of the existing software estate and how this meshed with the clients licensing grant. This was then used to help structure the next Microsoft agreement.
The Review savings of £6.5m including a significant reduction in extended support costs.
