The client’s Microsoft costs had spiralled over the contract lifetime, and their Azure spend was becoming unsustainable in the long term. Upon initial investigation our analysis confirmed that the asset and ultilisation data held by the client was not up to date after a recent migration to a new system. This meant they did not have an accurate picture of their usage and user needs across the estate. Synyega recommended Discover & Optimise services to establish a true picture of the licensing landscape and identify opportunities to eliminate unnecessary software costs.
Our team of experts discovered almost immediately that the system integrators had not established the required level of reporting for the new architecture. We conducted a full, independent review to identify inconsistancies, errors and omissions in the client’s existing data.
This was also an opportunity for a knowledge transfer between the Synyega and the client’s inhouse team. This helped both teams to establish a clear vision of the current position of the Microsoft licensing and what the end goal should be.
After we had established the Microsoft licensing position, the data was modelled to provide the client with full cost and usage scenarios for their expected expansion. This was then used to guide any planned spend and make recommendations on products and licencing requirements for the future.
When planning any migration to a new system, it is important to set clear reporting framework, our team established this working with the client and their existing system integrator, this ensured they then maintained a complete and accurate view of their licensing estate.
With future plans fully costed, we also identified short- and medium-term savings and discovered a licensing shortfall. We found some licences to be surplus to the current needs of the users, so those subscriptions could be removed, saving an estimated £18,000.
Establishing a clear understanding of the current estate and user requirements delivered immediate cost savings, as part of the review we recommended that further work be conducted as services transitioned to the cloud. Overall, the client realised a total tangible cost savings of £92,000 and their software estate is now a known quantity, meaning they can manage their budgets and forecasts more effectively.
